When and where will the conference be held?

The conference will be held online at https://live.kotesolconf.com on April 25, 2020 from 10:45am – 5:00pm. The last session begins at 4:00.

What’s the difference between the online conference and a normal KOTESOL conference?

There is no need to travel nor book hotels for the online conference. However, there will also be less ability to network and meet new people in this format. We are currently discussing ways that might allow us to provide more opportunities for networking. All sessions will be video sessions, either pre-recorded or live, and the majority of them (minus those who opt out) will be archived on KOTESOL’s YouTube channel for browsing later.

What is the theme of the conference?

The theme for this year’s National Conference is “Be the Change: Creativity, Community & Collegiality in EFL.” Teachers and their students can change and transform in positive ways through our shared experiences. The more creative ways teachers find to communicate with students, the more engaged those students can be in the classroom and in the world outside the classroom. The more we all engage with the world around us, the better citizens we become of our global community. We also have a shared responsibility to our professional community to help strengthen it with support and respect for all its diverse members. Let’s be the change we wish to see in the world… In 2020 and beyond!

Who are the Plenary speakers?

Tomomi Kumai is the Plenary speakers who will be giving a talk entitled “Creating a Safe Space for Transformation: Intercultural Awareness for Language Teachers.” Her Plenary talk will be scheduled for 10:00am.

Who will be attending the conference?

English Teachers and educators from all over Korea attend the KOTESOL National Conference every year. We usually draw between 300-700 attendees, and this year we hope it will be no different.

What audio / video / Internet equipment is required to present?

All presenters need:

  1. A working webcam and mic or Internet-enabled smartphone with camera and mic (for live sessions) OR
  2. Any kind of pre-recorded video content (for non-live sessions). This may include PPT recordings, screencasts, lectures filmed with a smartphone or camera, or any combination of those.

What will the conference schedule be? Will we choose our own presentation times or will time slots be allotted to us?

The conference schedule will be completed next week after presenter registration closes. (Please look for it around April 13th.) 

There will be a session time slot allotted to you if you are doing a live session. There will be a schedule just like a regular conference. The conference schedule will be completed after presenter registration closes. (Please check this site for a tentative schedule around April 14th. Please know that schedule changes may need to occur, but it will be communicated to presenters as needed.)

If you are doing a pre-recorded presentation, your session will be added to the conference “library”, and it will available for any registered conference attendees to view anytime after 10:00am KST on April 25, 2020.

I was selected to do a pre-recorded presentation./ I was selected to do a live presentation. Why, and is it possible to change to a different format?

Due to the logistical parameters of quickly transitioning from a place-held conference to an online event, the National Conference Committee has chosen to host a limited number of live sessions. This difficult decision was made to ensure there would be adequate tech support for conference participants.

All accepted presenters were surveyed on their interest in participating in an online conference, and asked to rate their interest in doing a live versus pre-recorded session. “Live session” presenters were selected based on their preference for doing a live presentation, and the relevancy of their session content to the 2020 National Conference’s theme of Be the Change: Creativity, Collegiality, and Community.

If you prefer to do a pre-recorded presentation that is an option; please indicate this when you register as a presenter, and also contact the program chair at natconfprogram2020@gmail.comUnfortunately, depending on the number of presenters who register, it may or may not be possible to switch from a pre-recorded to a live session. I’m doing a pre-recorded presentation. What are the length requirements?

We ask that you limit your video to 30 minutes or less. There is not a a minimum time requirement for a pre-recorded session; it is up to each presenter to select the amount of time they feel they need to convey their session content and we suggest you avoid feeling obliged to “fill up” a certain amount of time. However, we strongly recommend that your video be no longer than 30 minutes, and preferably shorter, in order to share your presentation topic efficiently and to hold your audience’s attention. A short, well-made video that captures and maintains viewers’ interest is by far preferable to a longer presentation that attempts to be comprehensive.

I’m doing a live session. How much time will I have to present?

Based on your session type (is it a research paper presentation, or a workshop/dialogue) and on your answer to the presenter survey, you will be scheduled for either a half hour or forty-five minute time slot. What equipment is required to view the presentations?

All attendees need an email address (to register, and then login), and an Internet-capable device such as a smartphone or computer. Sessions will be linked from https://live.kotesolconf.com and take place primarily on YouTube, and secondarily on Zoom (you will need to install the Zoom software and create an account prior to joining a Zoom room)

What is the deadline for uploading my materials?

Presenters may send their PPTs, resource documents, or pre-recorded videos to natconfprogram2020@gmail.com by April 20, 2020 to have those included on their Speaker page on the website.

What if I miss (or am late to) my appointed time for presenting?

We encourage all presenters (and session chairs) to test all equipment a minimum of 24 hours before the event, and to prepare themselves at least 10 minutes prior to giving their presentation. Even still, we understand that sometimes things happen that just cannot be avoided. If you are able to get online within 10 minutes after your presentation should begin, please do so, and apologize for being late. However, be aware that the longer you are not present in your room, the more likely your audience will be to drift to other rooms. If you find you are too late to give your presentation at your appointed time, you have one of two options: 

  1. Record your presentation anyway (not live) and submit it to the webmaster within 24 hours AFTER the event
  2. Just don’t give your presentation – and chalk it up to bad luck

What if a presenter doesn’t show up at their presentation time?

We encourage all presenters to arrive at and be ready for their presentations at least 10 minutes early. However, if a presenter fails to show up even up to 5 or 10 minutes after their presentation should begin, please understand that they may be experiencing technical difficulties of some kind. You are welcome to leave to attend another session, and come back later, or not come back at all. Some presenters who miss their appointed times may still record their presentations for YouTube; others may not. Either way, all website content will be updated at least 48 hours AFTER the conference has concluded, so you may check back at that time if you desire.

How can I access the Sessions after I register?

The email you use to register with will be added to a whitelist of users with access to the website. After your account is created on the conference website, you will be emailed your access password, and may then login.

What if I can’t login after I register?

Please double-check the email you registered with. Also, check your email inbox. If you have not yet received an email with your password / access code, then your account has not yet been created. If you have received an email, but cannot login, please click “Forgot my password” at the bottom of the page to begin the password recovery process. If you still cannot login after all these steps, please contact your “Attendee” manager who will then check your conference registration and get in touch with the webmaster to be sure you have access to the conference.

How can I edit my registration or login information?

If you can login to the conference site, then you should be able to change some of your personal information on that site. If you need to change your login information before your account is created, please contact your “Attendee” manager who will double-check everything and help you change your information.

How will my registration and attendance data be used?

KOTESOL does not share your data with any third-parties nor third-party applications. All registration and attendance data is maintained internally and used for KOTESOL’s own metrics. See our “Privacy Policy” for further details.

What if I miss a Session that I want to attend, or the site is slow, or the “room” is too full?

Unfortunately, technology is not perfect and things such as site slowdown, server crashes, and even personal forgetfulness to attend a session can happen. Therefore, each Session (minus those presenters who opt out) will be recorded and later uploaded to KOTESOL’s YouTube channel within 48 hours of the end of the event. You may then go back and view any sessions you may have missed.

Conferences are great for networking and socializing, but with everything going online, how can I do that this year?

Please join us in our Slack chatroom! This chatroom will be utilized as a “Hallway” track where people can mingle and socialize online during breaks in the Sessions. Additionally, during the lunch break, we may make one Zoom session live for anyone who wants to “eat lunch” together in a virtual mok-bang.

Do I have to be a KOTESOL member to attend?

You do NOT have to be a KOTESOL member to attend the conference. In fact, we hope that more non-members attend the conference this year since it is entirely online – and video content will be available after the event. Please share this conference with your friends and other English teachers who may be new to Korea, new to teaching, or need resources or support to help them.

How do I interact through the session chair?

The Session chair has a key role: to assist the presenter before, during, and after the presentation. This means that the Session chair will help get the video recording equipment setup and tested, they will alert the presenter on the time remaining, and they will monitor the YouTube or Zoom chat and comment boxes for the best and most relevant questions that are typed during the presentation. If the presenter answers a question during the course of his / her talk, then that question will not be asked at the end. At the end of the presentation, the Session chair will select the top 3-5 questions that were asked (and not yet addressed) during the presentation time and ask them to the presenter. Or, in the case that no questions were asked during the presentation, the Session chair may open up the “floor” (Zoom room, or chat box) for questions at that time. The Session chair will then help the presenter pick out the best questions to answer in the time remaining. The Presenter will stay on the Live video until they have answered all the questions, or no time remains in the session.

The conference starts in 10 minutes. I’m logged in, but nothing is on the screen.

If you see a “waiting” message, then please keep waiting for a while as the presenter prepares themselves and begins their video. If, however, you see nothing on screen at all, please double-check your link URL, or try another session. If NONE of the links are working, please check your Internet connection. Finally, if you see a “waiting” message for 5-10 minutes AFTER the starting time of the session, you may assume that the presenter may be experiencing technical difficulties, and unable to get online at that time. Please try another link or refresh the page.

Can I arrange a viewing party or some kind of other social / networking event during the conference?

Yes, you may arrange a viewing party or some other kind of social event during the conference within reason. Please be mindful of the state of affairs surrounding you (i.e. the current state of coronavirus in your district and restrictions on public gatherings, other people in the same location, etc.), but KOTESOL conferences are intended to be a place for people to gather and network and learn new things, so network away! Just please be sure that all members in your gathering have registered for the conference so that we can get an accurate picture of the attendance numbers.
